Insomniac Events is looking for a Project Management Coordinator to join the Production team in Las Vegas. This person will help to organize all project activities in cooperation with, and under the direction of Stage Production, SVP Prod / Operations. The role will coordinate the execution of projects and intuitive organization of resources, coordinating the technical, personnel and financial aspect as it relates to overall Production and Operations.
Coordinate with law team, international vendors, Insomniac department heads, and executives to ensure that visa information is being handled in a timely manner.
Determine visa processes & timelines with partners.
Distribute all necessary visa and travel information to international crews.
Track all visa and travel progress, coordinate expedited consulate appointments, and mitigate any issues that may arise.
Responsible for reviewing and gathering production advancing information for various staff, vendors, department heads.
Assist the Artist Advancing Manager with advancing technical riders from artists & agents and collating information into stage specific folders.
Liaise operations with talent department and artist relations.
Assist the Artist Advancing Manager with various artist correspondence such as SFX allocations, additional SFX ordering, LD/ VJ sound check & scheduling, artist NDA’s, watermarked stage drawings, etc.
Assist the Artist Advancing Manager in collation of artist backline/ DJ gear/ power / crew needs.
Assist the Artist Advancing Manager in writing and distribution of artist production packs to Artists.
Assist the Artist Advancing Manager in collation and printing of stage production packs for stage managers and DJ techs.
Assist with misc. production and operations tasks as assigned.
Assist as the production/operations catch-all, answer and solve all show needs for all departments and vendors.
Frequently check all stage and site build progress and assist with anything needed (ie. handle rush purchases for all last minute stage/site needs).
2+ years’ experience with festival production and operations
Excellent organizational skills
Detail-oriented and able to coordinate multiple work streams under deadline pressure
Ability to take initiative, problem solve and perform research
Knowledge of the principles of target marketing
Extensive knowledge of Microsoft Office programs, particularly MS Excel and PowerPoint
General knowledge of live entertainment and Insomniac brands/shows
Knowledge of concert promotion and live event business is a plus
Some travel may be required
Must be able to tolerate loud noise levels & busy environments
May work in drastic temperature climates
Must be willing to work during evening and weekend hours, as required, to meet deadlines
